AI intake for clinics

Insurance cards in. Clean claims out.

Insuarmed reads a patient's insurance card the moment they check in, verifies coverage, and pre-fills claim and prior-authorization forms — so your staff review instead of retype.

The problem

Your staff type the same policy details all day, from scratch

Every visit starts the same way: someone reads a plastic card and retypes the member ID, group number, and payer into a form. It's slow, and it's the first place typos creep into a claim — long before a doctor even sees the patient.

A single wrong digit on a member ID is enough to get a claim rejected weeks later, well after the visit is over. Insuarmed catches that at the front desk, in seconds, instead of at the payer, in a month.

How it works

Three steps, most of them automatic

01 / scan

Photograph the card

Front desk staff snap the front and back with any phone or scanner. No new hardware, no special training.

02 / verify

Confirm coverage live

Insuarmed checks the policy against the payer in real time, so a lapsed or mismatched plan is caught before the visit, not after.

03 / fill

Pre-fill the forms

The same extracted data populates the claim form and the prior-auth request. Staff review and approve — they don't retype.

Under the hood

How the full system works, start to finish

1

Patient checks in

Front desk photographs the insurance card, front and back, with any phone or scanner already on hand.

2

Insuarmed reads the card

An AI model extracts the payer, member ID, group number, and plan details straight from the photo — no manual typing.

3

Coverage is verified live

That data is checked against the payer in real time, catching a lapsed or mismatched policy before the visit happens, not weeks later.

4

Claim and prior-auth forms pre-fill

The same extracted data populates both the insurance claim form and any prior-authorization request — one scan, two forms.

5

Staff reviews, not retypes

Your team gets a quick side-by-side of the card and the filled form to confirm accuracy, then approves with one click.

6

Clean claim goes to the payer

The completed, verified claim is submitted — with fewer of the coding and data-entry errors that cause denials down the line.

Questions

What clinics ask us first

Is this HIPAA compliant?+

Insuarmed is built with HIPAA safeguards in mind — encrypted storage, access controls, and audit logging on every record. We provide a signed Business Associate Agreement (BAA) to every clinic we work with before any real patient data touches the system.

How does pricing work?+

We're running structured pilots with our first clinics, so pricing is tailored to your patient volume and which forms you want automated. Clinics who join during early access lock in founding-clinic pricing ahead of general availability.

How long does setup take?+

Most clinics are live within a week. There's no new hardware to buy — you use the phone or scanner already at your front desk — and no changes required to your existing EHR or billing software.

Does this replace our billing staff?+

No. It removes the manual retyping so your team reviews and approves instead of doing data entry from scratch. Every submission still passes through a human before it goes to the payer.

What if the AI misreads a card?+

Every extracted field is shown next to the original card image before anything is saved or submitted, so staff can catch and correct a misread in seconds rather than downstream, after a claim is denied.

Which insurers do you support?+

We're starting with the major national payers most common among our early clinics, and expanding coverage based on the specialties and insurers our pilot partners actually need.
